Privacy Policy

This policy explains how POLINET handles information collected through its authorised employee application and survey operations.

POLINET is an internal application intended for authorised employees and personnel. It is not a general public survey application.

1. Introduction

POLINET is a survey management platform used to organise field survey activities, collect survey information, support verification and help authorised teams manage survey operations.

POLINET is developed and managed from a technology and application-management perspective by AVL iNFo for the POLINET organisation/client.

2. Who Can Use POLINET

Access to the application is restricted to authorised employees and personnel. User accounts and permissions are provided according to operational requirements.

Users are expected to use the application only for authorised work and to protect their account credentials and device.

3. Information We Collect

Account and employee information

Depending on the user's role, POLINET may process information such as name, mobile number, employee or staff identifiers, work area and other information required to provide controlled application access.

Survey information

During survey work, authorised users may enter information provided or observed as part of the assigned survey, including voter or household information, contact details, survey responses and related operational information.

Uploaded media

Where a survey workflow requires it, the application may collect photographs or other media submitted by an authorised user.

4. Camera, GPS & Audio

Camera and photographs

Camera access may be used when the assigned survey workflow requires photographs or selfie/photo-based verification. Access is requested through the device permission system.

Location

POLINET may collect device location information when location is required for field-survey operations or verification. Location information may be used to associate authorised survey activity with an approximate field location.

Audio recording

The current Type 1 Field Survey module may use automatic voice recording where the survey workflow requires it. Audio is collected only for the relevant authorised survey activity and is handled as part of the survey record.

5. How Information Is Used

Information collected through POLINET may be used to provide application access, assign and manage work, conduct surveys, support verification, maintain survey records, monitor operational progress, generate reports and improve the reliability of the platform.

Information is used for the purposes connected with the authorised survey operation and is not intended for unrelated commercial advertising.

6. Offline Storage & Sync

POLINET may allow authorised field users to continue selected survey activities when an internet connection is unavailable. Information required for the offline workflow may be temporarily stored on the user's device.

When connectivity is available, the application can synchronise eligible information with the platform's backend systems. Users should not intentionally retain or copy survey information outside the authorised application workflow.

7. Sharing & Service Providers

Survey and account information may be accessible to authorised POLINET personnel and service providers who support hosting, application infrastructure, storage, security, analytics or related technical services, where required for the operation of the platform.

AVL iNFo provides technology and application-management support for POLINET. Access by technical personnel is expected to be limited to legitimate operational, maintenance, security or support requirements.

8. Security

Reasonable technical and organisational measures are used to protect POLINET information against unauthorised access, loss, misuse or disclosure. These measures may include authentication controls, access restrictions, secure communication and controlled backend access.

No internet-connected system can be guaranteed to be completely secure. Users should report suspected account, device or data-security incidents through the appropriate internal support channel.

9. Retention & Deletion

Information is retained for as long as it is reasonably required for the authorised survey operation, verification, reporting, operational records, security, legal obligations or other legitimate organisational requirements.

Retention periods may differ depending on the type of information and the requirements of the relevant survey or project. Where information is no longer required, it may be deleted or securely disposed of according to applicable internal procedures.

10. Children

POLINET is an employee and personnel application and is not designed for children to create accounts or use the application independently.

11. Policy Changes

This Privacy Policy may be updated when the application, survey modules, data practices or operational requirements change. The latest version published on the official POLINET website should be considered the current version.
